Professional Services seek to deliver high quality, effective and efficient administrative services which support the research, learning and teaching activity of the University, its staff and students.
Professional Services staff work together in central university administrative divisions, Colleges and Academic Schools. With the introduction of Colleges we are reviewing how and where we deliver services in order to provide flexible, customer-focussed services driven by the needs of the academic and student communities.
We are organised into the following teams:
ARCCA (Advanced Research Computing at Cardiff) provides high-performance computing facilities for researchers across the University. ARCCA works closely with IT Services and Library Services in the broad provision of information services.
Campus Services provides residences and sports facilities for students, staff and conference guests; manages security and portering (including car parking) for the University; and provides catering in restaurants and cafes and directly to meeting rooms/functions throughout the University. Campus Services also includes a conferences team who can help to organise and run events at the University.
Estates manage the University’s buildings, including cleaning and maintenance, planned and reactive minor works and more major developments, and the University’s utilities – electricity, gas and water.
Finance provides financial management systems for the University; manages the financial aspects of income and expenditure; manages the University’s procurement of goods and services; and ensures that we remain solvent and compliant with external regulatory requirements.
Human Resources supports all aspects of our employment of people within the University: including recruitment, staff development, terms and conditions, relationships with trade unions, and payroll. The team also manages the University’s health and safety at work policies and regime, and our environmental management.
International and Marketing will bring together the teams who are responsible for the University’s marketing and student recruitment activities. The department will support communications and publicity, with responsibility for University publications and the University’s web presence, and overall for the University’s brand. Student recruitment at all levels will be a key activity, and international work, including partnerships for research and teaching with overseas universities and managing the University’s international profile. The department operates the University’s English language programmes for international students, and the University’s alumni relations and fundraising activities will be a key focus.
IT Services designs, delivers, manages and supports the University’s virtual infrastructure. This includes core services, such as the University’s network, server and file storage facilities; academic systems, such as e-Learning and Student Records; critical business systems, such as email, calendaring and corporate applications; and ancillary services, such as training and support. IT Services also manage IT/AV equipment across the University’s Pool Room estate and is responsible for developing IT architecture and technology standards. The department works with other teams to develop more efficient, IT-enabled ways of working, communicating and collaborating in response to evolving technologies and needs, and works closely with ARCCA and Library Services in the broad provision of information services.
Lean is a small team that supports the University in developing a culture of continuous improvement. It assists managers in achieving operational excellence through the reduction of waste to deliver value to our customers.
Library Services provides library and learning resources for the University, operating physical libraries (including open access computer rooms) across both of the University’s campuses plus Cardiff and Vale and Velindre NHS Hospital sites; they also manage e-resources and their availability to staff and students, supported by an extensive programme in Digital and Information Literacy. Library Services include Graphic Services (reprographics and soft binding), together with the medical photography, illustration, printing and design services offered by the Media Resources Unit. They also carry out grant-funded research in the Support Unit for Research Evidence (SURE) and manage the quality assurance of all NHS hospital libraries in Wales (AWHILES). They work closely with ARCCA and IT Services in the broad provision of information services.
Planning provides support to the Vice-Chancellor and University Executive Board in the development of strategy, in maintaining awareness of the University’s performance (including benchmarking and key performance indicators), in managing relationships with funders and government agencies on policy matters; and in supporting the evaluation of business cases for major strategic development. Planning also support specific projects, for instance REF preparations and specific task and finish groups within the University.
Research, Innovation and Enterprise Services provides support for the development and submission of research funding applications and for holders of research grants and contracts through managing project accounts and submitting funding claims. Advice and support is also provided on the contractual and governance aspects of research and commercial funding. The team also supports innovation, working to secure external funding to commercialise outputs of research through patenting, licensing, establishing spin-out companies and fostering entrepreneurial activities within the University.
Student Services and Governance manage the admission, registration, examination and graduation of students, and provide central support for student welfare and development (eg careers support) through their study within the University. Support is also provided for academic policy development and for quality assurance, including collaborative provision. Governance covers in addition committee support; internal audit; equality and diversity advice; Welsh language services; information management and compliance; student complaints and appeals, regulatory compliance and NHS liaison.
Vice-Chancellor’s Office supports the day-to-day business of the Vice-Chancellor, Deputy Vice-Chancellor, Pro Vice-Chancellors and the Chief Operating Officer, including support for University Executive Board.
