Section 1: Questions you may have before you enrol


How do I enrol at Cardiff University?
All students should use the online enrolment system to register and where relevant pay or make arrangements to pay tuition fees. You must also attend your School Enrolment/induction event and confirm your programme details in order to be a fully enrolled student.

How will I know when to enrol?
You will be contacted approximately 3 weeks prior to your programme start date. The online enrolment system will be available from the date stated on the letter and/or e-mail you receive from us.

How long will enrolment take to complete?
It shouldn't take longer than 10 minutes to complete the online registration and fee payment task. The steps to the process are as follows:-
1. Agree to abide by the University’s regulations
2. Check your personal details
3. Check/update your home and term-time addresses
4. Check/update your emergency contact details
5. Check/update your personal information details (qualifications etc)
6. Check your Programme of Study details and the relevant fee due.
7. Check sponsorship details for the payment of your fees (if applicable)
8. If you have any fees to pay yourself then:-

  • pay your fees online credit/debit card
  • or set up a Direct Debit on line
  • or arrange to pay offline by cheque etc.

9. You will need to confirm your programme of study is correct, and where relevant, select your optional modules (please note your school may wish you to seek academic guidance at the school enrolment/induction event before selecting optional modules).
10. You will need to attend your School Enrolment/induction events, details of which can be found on the School Enrolment Information web pages.

When do I have to log-on and enrol?You should log-on as soon as possible once you have been notified that the enrolment task is open for you, it is recommended that you complete online enrolment before the start date of your programme. It is a requirement of the University to register as a student in order to continue with your studies.

Do I need to enrol by a certain date?
Yes. You will only be able to enrol online for a fixed period of time relating to when your programme commences. The enrolment task will be available approximately three weeks before the start of your programme and you will be contacted when the task is available for you to use.
You should endeavour to enrol before you arrive in Cardiff. However, you will be able to access a PC at a number of supported enrolment venues, and have assistance with any problems that have prevented you from enrolling online beforehand.

Can I enrol without using the online enrolment system?
No. Online enrolment at Cardiff University is compulsory for all new and returning students.

I am unable to use a computer, how can I enrol?

You are advised to enrol before arriving at the University. If you do not have a computer you can use any internet enabled PC at a local library of internet cafe. If this is not possible, you will be able to register on your arrival at the University in one of a number of venues where University staff will provide support for students enrolling online.

I am unable to access the internet, how can I enrol?

If you are unable to access the internet at home, a local library, community centre or an internet cafe may have this facility. If you cannot access a PC/internet connection before you arrive, then you can register on your arrival at the University. University computing facilities will be available on campus when you arrive, however you must enrol at the earliest opportunity.

Why must I complete online enrolment before arriving in Cardiff?

You should complete online registration before arriving in Cardiff to avoid:
• delays in your Cardiff University Student Card being issued;
• delays in being able to access University facilities;
• delays in payment of your first student loan instalment if appropriate;
• having to queue at one of the supported environments in order to complete the online task;
• delays at School Enrolment/Induction events.

Do I have to pay to become enrolled?

If you have any fees to pay yourself then you will have to pay or make an arrangement for payment in order to become fully enrolled. If you are sponsored for all of your fees then you don't have to pay anything to become enrolled, as long as we have received confirmation of your sponsorship from your sponsor.

Section 2: Using the SIMS online system


How do I access the online enrolment system?
You will need to log-in to the University online enrolment system using your Cardiff University network username and password. You will also be prompted to answer security questions.
If you are a new student to the University you will be sent two separate communications, one containing your username, and one your password.
If you have not received your username and password 10 days before your programme start date, please contact the enrolment team.

I am a returning student and have forgotten my username and password. What should I do?

Your Cardiff University network username and password are those you use for accessing the Cardiff University IT network as well as the online enrolment task.

I know my username and password but I am unable to access online enrolment.

If you are not able to access the online enrolment system log-in page, please check the following:
• Please ensure that you are typing the URL (http://sims.cf.ac.uk) into the address bar at the top of your screen, not into a search engine (e.g. Google)
• It is possible that if you try to access the online enrolment system from outside of your home, e.g. at your workplace, you will not be able to access secure websites such as the online enrolment site. Please check with the network administrator if you experience this type of problem.
• Your internet browser should be compatible with the online enrolment system. You should use Internet Explorer Version 5 (or above) or Firefox

I have reached the log-in screen and have entered my username and password but I can’t access the enrolment system. Why?

Please check that you are typing your Cardiff University username and password correctly and into the correct fields. If you are doing this and still can’t gain access, please contact the enrolment team. If possible, please make a note of any error message that you receive.

I have entered my username and password successfully but I cannot get past the extra security questions. What do I do now?

Check that you are entering the correct student number (found at top of enrolment communication), and also check that you are entering your date of birth in the format dd/mm/yyyy. Please contact the enrolment team if your answers to the security questions are not giving you access to the online enrolment system.

I forgot to print my enrolment confirmation?

This is not essential but may be useful. An automated email confirmation will be sent to your email account. This can be used as evidence of enrolment if required.

Where can I get help with online enrolment?

If you have queries/problems with the online enrolment task, either accessing it or with accuracy of data, please contact the enrolment team.
If your query relates to fee payment you should contact Finance. Alternatively you may attend one of the supported enrolment venues.

I have completed online enrolment what happens next?

If you are a new student, you should have completed and returned the Health Questionnaire and read the accompanying advice. When you arrive at the University you will need to:

1. collect their Cardiff University Student Card (New students).

2. attend your School enrolment/induction event, this will provide you with an introduction to the University, allow you to seek academic advice about your programme of study and selection of optional modules, University facilities etc. Please check the School Enrolment Information web pages for details. If you are unclear about what to expect at these events please contact your School.

Once you have registered online, confirmed your programme of study and selected your optional modules, these will be available for you to view on your academic record on SIMS Online.

My module registrations are wrong?

If your optional module selection are wrong, you can re-select your optional modules using the online Module Selection Facility, which your school will need to then approve.

I wish to transfer to a different Programme of Study. What should I do?

You should still complete online enrolment. You will be able to request a programme transfer via an online task once you have completed online enrolment.  You are advised to seek academic approval from your  School(s). Please note this may require a re-assessment of your fee liability.

Can I register with an outstanding debt from a previous academic session?

Yes, but you will be regarded as Registered – Outstanding Finance Issues. You will have 30 days to settle your debt.

My tuition fees payable are incorrect. What do I do?

You should still complete online enrolment, but you should not make a fee payment. You must contact the income/fees section of Finance immediately.

Do I have to pay my fees in full in order to register?

No, we offer a discretionary instalment scheme which you can set up online as part of registration.

If I want to pay by direct debit but my bank account is not open yet, what should I do?

You should complete online enrolment. You will need a bank letter to open a bank account, which you can obtain from the Bank Letter venue. You will then be able to access another online task to set up a direct debit. You will be considered as Registered – with outstanding finance issues until the direct debit has been set up. This allows you access to University facilities such as the library and computers for a 30 day period, during which time you should make the necessary arrangements to complete your enrolment.

What should I do if I had been regarded as Registered – Outstanding Finance Issues but am now able to complete registration in full?

If you are able to complete online enrolment within two weeks of your course start date, you should log back into the task and complete the necessary information. If you are completing enrolment after this time you will need to contact Finance.

What do I need to do if I am sponsored?

You should forward your sponsor letter to the Income/Fees section of Finance as soon as possible. This letter must quote your full name, Programme(course) and the amount of sponsorship; you should also write your Student Number on the reverse of the letter. This should be sent to.

I am fully sponsored do I still need to log-on and enrol?
Yes, every student has to log on and enrol. Provided that we have received confirmation of your sponsorship the enrolment task will show that you are not required to pay any fees.

I have applied to my Local Authority/Student Loans Company for an award/loan for my fees but haven't heard anything; should I still enrol?

Yes, log-in complete your personal details and at the appropriate point of the task tell us that you have applied for funding. You will have 30 days in which to chase your local authority and for us to receive confirmation from your Local Authority or the Student Loans Company of your funding. In some circumstances we may have already heard from them as they tell us about your sponsorship at the same time they write to you, in which case we can enrol you based upon what we have been informed.
Please note that all students are required to pay any fee payable themselves at enrolment and provide evidence of sponsorship for all amounts to be settled by a sponsor. This includes amounts covered by fee loans from the SLC. Students failing to comply with these requirements will be Registered – with outstanding finance issues.
Students who are Registered – with outstanding finance issues must satisfy the requirement to pay and /or provide evidence of sponsorship within 30 days of enrolment. Failure to do so will result in suspension of enrolment.

I am paying my own fees how can I pay?

You can pay on line using a credit/debit card or set up a Direct Debit either online or by filling in a paper Direct Debit Instruction, post a cheque or pay straight into the University's bank account. For full details please log-in to the online enrolment system (when informed to do so) and you will be given instructions on how to pay. Do I have to be enrolled to receive my Student Loan?

Yes, we will not confirm your attendance to the Student Loan Company until you are enrolled.

When do I get my student loan?

Once you have successfully enrolled and the official start date of your programme has passed, your student loan should be paid into your bank account within 3 working days. If you have queries regarding this you will need to speak to the Student Loan Company.

Section 5: Cardiff University Student Cards



What is my Cardiff University Student Card and why is it important?
Your Cardiff University Student Card performs the following functions:
• it identifies you as a student of the University;
• it allows appropriate access to Univeristy buildings including Halls of Residence;
• it shows membership of the National Union of Students (N.U.S);
• it acts as your University library card.

How do I obtain a Cardiff University Student Card? (New Students Only)
The majority of new students will collect their Cardiff University Student Card in person from one of the Student Card production and distribution venues. You must have completed the online enrolment process and will be expected to provide proof of identity before having your photograph taken at the venue and your card issued. Details of the opening dates and times of these venues can be found here.

Students pursuing a programme that is deemed to be delivered as distance learning can, if they wish, apply for a Cardiff University Student card if they are to attend campus at some point.

Do I have to be registered before I can get my Cardiff University Student Card?

Yes, in order to be issued with a Cardiff University Student Card you must have successfully completed online enrolment and be a registered student of the University.

Do I need a new Cardiff University Student Card for each year of study?

The Cardiff University Student Card will last for the duration of your study at the University. If you change your Programme this may have an impact on the duration of your study and hence the expiration of your card. In this instance you should contact Security to be issued with a new Cardiff University Student Card.

When will I receive my Cardiff University Student Card? (New Students Only)

The majority of new students will collect their Cardiff University Student Card in person from one of the Student Card production and distribution venues. You must have completed the online enrolment process and will be expected to provide proof of identity before having your photograph taken at the venue and your card issued. Students pursuing a programme that is deemed to be delivered as distance learning can, if they wish, apply for a Cardiff University Student card if they are to attend campus at some point.
